This policy explains how Pro Supply UK, a trading name of AYESH&CO LTD, a company registered in Scotland (Company No. SC782167), registered office 52 Ochiltree Terrace, Camelon, Falkirk, FK1 4LT, United Kingdom, collects and uses personal data when you visit prosupplyuk.co.uk or buy from us. We are the data controller for the personal data described here.

1. The information we collect

Order and account information - your name, business name, billing and delivery address, email address, telephone number and order history.
Payment information - payments are handled by our payment providers. We receive confirmation of payment and limited details such as the last four digits of a card. We do not store full card numbers.
Technical and usage information - IP address, device and browser type, pages viewed and referring site, collected through cookies and similar technologies.
Communications - messages you send us by email, contact form, telephone or chat.
Marketing preferences - whether you have subscribed to our emails.

2. Why we use it, and our lawful basis

To process and deliver your order and to provide customer service - performance of a contract with you.
To meet legal and accounting obligations, including keeping records for HMRC - legal obligation.
To prevent fraud, keep the site secure, understand how it is used and improve our products and service - our legitimate interests.
To send marketing emails - your consent, or our legitimate interest where you are an existing customer buying similar goods. You can opt out at any time using the link in any email or by emailing us.

3. Cookies

We use cookies that are necessary for the site to work, such as keeping items in your basket, and - where you agree - cookies that help us measure traffic and improve the store. You can manage your choices through our cookie banner and through your browser settings.

4. Who we share it with

Shopify Inc., which hosts and operates this online store.
Payment providers, to take and verify your payment.
Couriers and suppliers, so that your order can be delivered.
Email, analytics and customer support providers acting on our instructions.
Our professional advisers, and public authorities where the law requires it.

We do not sell your personal data.

5. Transfers outside the UK

Some of our providers are based outside the United Kingdom. Where personal data is transferred outside the UK we rely on UK adequacy regulations, or on the International Data Transfer Agreement or UK Addendum, so that your data continues to receive an equivalent level of protection.

6. How long we keep it

We keep order and transaction records for seven years to meet UK tax and accounting requirements. Marketing data is kept until you unsubscribe. Website analytics data is kept for up to 26 months. We delete or anonymise personal data once we no longer need it.

7. Your rights under UK GDPR

You have the right to be informed, the right of access to your personal data, the right to have inaccurate data corrected, the right to erasure, the right to restrict or object to processing, the right to data portability, and the right to withdraw consent at any time.
